Transfer a Team Google Calendar Before Its Owner Leaves

by AEPC / AKL East PC 27 Sep 2026

A shared team calendar may still be owned by one staff member’s account. Before that account is retired, establish who owns the calendar and who should take responsibility. Seeing it in several people’s calendar lists does not prove that any of them owns it.

List the calendar, its current owner, the intended successor and any recurring bookings or meeting links that the business relies on. Separate ownership from the permission to edit events. The receiving person needs to understand both the technical handover and the booking process.

Check whether a transfer is supported

Google allows ownership transfers for secondary calendars, not the primary calendar created with the account. For work or school accounts, the new owner must be in the same organisation. If the bookings live on a primary calendar, ask the authorised administrator to plan a supported alternative instead of promising a direct transfer.

The current owner starts the transfer from the calendar’s Settings and sharing. The recipient receives an invitation and must accept it. Google allows 60 days, and the original person remains owner until acceptance. Sending the invitation alone does not complete the handover.

Verify control and continuing bookings

After acceptance, confirm the new owner is recorded and can perform the required management task. Review the old owner’s remaining permission; Google changes it to an editing-and-sharing role after the transfer. Decide separately whether that ongoing access is still appropriate.

Check a representative upcoming appointment, recurring series and meeting link. Transferred events with Google Meet links can be affected by the applicable conferencing policies, so include meeting access in the acceptance check when relevant.

Record the acceptance date, current owner and any unresolved exceptions before the account-retirement step. A business calendar is ready for handover when the successor can manage the real booking workflow, not merely when a similarly named calendar appears in their sidebar.
