Check Which PowerPoint Content Goes Into a Shared PDF

by AEPC / AKL East PC 27 Sep 2026

A presentation can contain background slides and editorial comments that were never intended for the final audience. Exporting a PDF requires an explicit content decision, especially when the deck has been reused for several purposes.

This workflow uses desktop PowerPoint for Windows. Keep the editable deck and make a delivery copy if needed. Write down the intended first and last slides, any gaps in the sequence, and whether the audience needs full slides or a handout layout.

Inspect the PDF options before publishing

Choose File, Export, Create PDF/XPS Document, then Create PDF/XPS. In the publishing dialog, open Options rather than accepting the previous settings without review.

Check the range and the Publish what selection. Microsoft documents options for selected slide ranges and different output forms. It also provides choices involving hidden slides, comments, ink and non-printing information such as document properties.

Set those choices for the current audience. A slide’s hidden status inside the presentation is not, by itself, a substitute for inspecting the export’s hidden-slide option.

Choose an output name and publish the PDF. Keep it separate from earlier review copies so someone does not share the wrong file merely because both names look final.

Open the actual PDF and check its scope

Count the pages and compare their order with the intended selection. Inspect the first page, the last page and every point where you excluded a slide. Look for comments, unwanted editorial material or an unexpected output layout.

Read small labels at a normal viewing size and check important links if the PDF relies on them. A complete set of pages can still be a poor handover if readers cannot interpret the content.

If anything is wrong, correct the export settings or delivery copy and generate a new file. Retain the editable source for revisions. Treat PDF as a delivery format, not a guarantee that its contents cannot be copied or edited; release it only after reviewing what the recipient will actually receive.
