Check SharePoint Draft Visibility Before Enabling Content Approval

by AEPC / AKL East PC 27 Sep 2026

A business may want staff to read only the agreed version of a procedure while a revision is being prepared. SharePoint content approval can support that process, but the approval switch alone does not establish who can see drafts. Test the visibility rules before relying on it.

Define three roles for a pilot: the author, the person who approves the content and an ordinary reader. Decide what each should see before approval, after approval and after a later revision. Use a test library or harmless sample item while working out the arrangement.

Inspect the related settings

An authorised site owner can review Content Approval and Draft Item Security under the list or library’s Versioning settings. The draft visibility choice matters: configurations can allow readers or editors to see material that is still pending.

Microsoft also notes that when approval is enabled on a library or list already containing items, those existing items receive Approved status automatically. That status is not evidence that someone just read and accepted every old document. Plan a separate review of existing material if the business needs one.

Test the complete publication cycle

Have the author create an unmistakably labelled test draft. Check its visibility from the ordinary reader’s account before approval. Then have the authorised approver complete the review action and confirm the reader sees the intended result.

Revise the sample again and inspect what the reader can access while the new version is pending. Record the observed behaviour, including any older approved version still shown. The owner’s view cannot stand in for this reader test.

Agree who provides cover when the approver is away and how rejected material is corrected. An approval queue without an available decision-maker can leave staff relying on outdated information.

Before changing a live library, record its current settings and communicate the expected workflow. Treat the displayed status as a system state tied to that process, not a substitute for actual review of the document’s accuracy.
