Hand Slide Control Between Keynote Presenters Without Losing the Host

by AEPC / AKL East PC 28 Sep 2026

A team presentation can become disjointed when every speaker asks someone else to advance. Shared slide control can help, but the team still needs one clear host and an agreed handover. Decide who owns the running session before the audience joins.

Prepare a short shared rehearsal deck with a host section and a co-presenter section. Use obvious slide numbers. Confirm that each presenter can open the same shared presentation, rather than a separately downloaded copy that happens to have the same title.

In Keynote on Mac, choose Play, Play Multi-Presenter Slideshow and Start as Host. The host can start or end the show and retains control throughout. A co-presenter opens the shared deck and joins through the same Play command; while sharing control, their role is limited to advancing or reversing the slideshow.

The host uses the Multi-presenter toolbar control and the Driver button beside a presenter’s name to share or stop sharing control. A co-presenter can use Stop Controlling to give up control. These controls concern the deck; your conferencing application separately determines what the audience sees and hears.

Practise one deliberate handover

Start with the host’s numbered slide. Have the host announce the handover, grant control and stop advancing. Ask the co-presenter to move forward once and back once, then reach their starting slide. Both people should confirm the same visible state.

Use a spoken cue at the end of the co-presenter’s section and return control deliberately. Simultaneous well-intentioned clicks can skip content, so agree that only the current speaker operates the sequence unless the host intervenes to recover a problem.

During rehearsal, inspect the audience’s actual shared view. A successful co-presenter advance proves deck control, but does not prove that the meeting is sharing the right window. Check a slide change from the receiving side before declaring the handover ready.

Keep a recoverable running order

Write the speaker changes beside the planned slide numbers. If a co-presenter loses their connection, the host should be able to continue advancing from that point while the speaker narrates by an agreed alternative route.

Before the real session, restore the first slide and confirm the host again. Avoid changing the shared deck’s structure after rehearsing without updating the handover notes. The goal is a predictable transfer of slide control, with the host able to keep the presentation coherent when a participant joins, leaves or needs help.
