A normal image scan can look sharp while a search for a word finds nothing. A searchable PDF adds recognised text to the scanned image. That makes retrieval easier, but recognition is a result to verify rather than a guarantee that every character is correct.

Choose an OCR-capable output

Use the scanner software's documented searchable-PDF function. Epson Scan 2, for example, requires its OCR component for this task; the cited instructions explain that a downloaded installation may need that component added separately through the supported software route.

In the documented workflow, choose Searchable PDF as the image format, open its options and select the document's text language. Confirm the filename and destination folder before scanning. Menu availability depends on the scanner and installed software, so do not substitute an unrelated download when the option is missing.

Start with a short representative document. Include the small text or mixed layout that is most likely to challenge recognition. Check the image itself for cropped edges, blur and incorrect rotation before judging the text layer.

Test what the file actually contains

Close and reopen the saved PDF. Search for a distinctive word that appears on a later page, then copy a short sentence into a plain-text document. Compare it with the visible page. This tests the saved output rather than the scanner application's preview.

Pay particular attention to amounts, dates, reference numbers and characters such as zero and the letter O. A search miss does not prove the original lacks the information, and a plausible copied number can still be wrong.

Keep the visible original scan as the authority for any important transcription. If recognition is poor, improve the source image or supported language settings and try a fresh sample. Do not silently replace a figure in a working record from unverified OCR.

After accepting the sample, scan the remainder and check page order and completeness. Searchability is useful only when the correct pages are present and the file is saved where you expect.
